Retail Operations Manager 37.5 hours per week (5 days)
Salary c £24,000 per annum (plus profit related pay). OTE c £28,000 plus company vehicle.

Due to planned expansion of our retail operation we are looking to appoint an additional experienced Retail Operations Manager.

The successful candidate will be responsible for the day to day operation and financial performance of a number of retail shops.

Being used to working in a fast paced and challenging environment you will be a credible candidate used to measuring effectiveness through results.

You will have experience of motivating and managing a team of Managers and will provide inspirational leadership so that each shop can deliver the right results in the support of the organisation as a whole.

You will need to be well organised and manage your time effectively.

Being a confident communicator will be important too as well as possessing budget and financial management skills.  
Main Duties and Responsibilities:

1. To ensure that that each shop operates safely and in compliance with current legislation
2. To ensure that the required financial performance of each shop is achieved as set out in the company business plan, taking appropriate actions to resolve under-performance
3. To ensure effective movement of consumables, bought-in and donated stock, providing sufficient resources to all shops
4. To communicate regularly with retail staff and manage them appropriately; dealing with matters as they may arise in a professional, efficient and thorough manner
5. To assist in the organisation of regular team meetings, leading activities and delivering Power point presentations where appropriate
6. To recruit retail staff with the skills necessary to perform the role, whilst ensuring that ongoing staff turnover is minimised through effective training, coaching, appraisal and motivation
7. To recommend, organise and manage the repair and maintenance of shop premises
8. To provide regular written reports to the Retail Manager on shop performance, HR issues and other operational matters
9. To perform any other reasonable duties, agreed with the Retail Manager.
Communications
Meet regularly with Retail General Manager to update activity and developments.
Meet with any other Tŷ Hafan staff as necessary to ensure joined-up activities.
Communicate regularly with Shop Managers and Deputies to ensure quality of skills and performance.
Meet with external suppliers.

Supporter Liaison Administrator 37.5 hours per week
Salary up to £15,000 per annum.

We have a vacancy for an additional Supporter Liaison Administrator, to be the first point of contact for general and supporter enquiries.  To receive general incoming mail and donations, send thank you letters and to undertake general administrative duties.  The successful candidate will be required to be skilled in using Microsoft Office in particular Outlook, Word and Excel and possess excellent communication and interpersonal skills.

Main Duties and Responsibilities:

1. Telephone Duties
To be responsible for all incoming telephone calls:
• courteously respond to all incoming telephone calls and helpfully respond to their needs
• record all incoming calls (name, company/organisation (if appropriate), telephone number and destination)
• when appropriate, take accurate and complete messages and ensure that these are delivered to the relevant member of staff, or re-contact the caller in the event that the intended recipient cannot respond in a timely fashion.

2. Supporter liaison
To be responsible for all incoming telephone calls from supporters, logging details and arranging fulfilment:
• courteously respond to all incoming contact (telephone/email to info@tyhafan.org) by supporters wishing to enquire about fundraising or collection boxes;
• dealing with general supporter enquiries:
o log contact details (including address and email); encourage potential supporters to use the website and/or send a welcome letter with fundraising pack;
o diarise follow up dates and schedule calls.
• dealing with planned supporter events:
o log their contact details (including address and email) and details of any proposed fundraising activity;
o encourage supporters to use the website or ask what promotional materials are required;
o send a welcome letter with promotional materials;
o diarise follow up dates and schedule calls.
• dealing with a request for a cheque presentation or talk:
o log their contact details (including address and email) and details of cheque presentation or talk;
o pass details to Business and Community to progress.
• dealing with collection box enquiries:
o take calls requesting new collection boxes or for collection boxes to be emptied and pass to the Collection Box administrator or the relevant volunteer collection box collector.
3. Mail
To be responsible for all incoming mail, cheques and thank you letters:
• receive, sort and distribute all incoming mail (including email to info@tyhafan.org) and enter cheques received in the post book; 
• enter donors on Donorflex and type letters of thanks;
• type and laminate certificates for donations, where appropriate;
• at the close of business ensure all post is bagged and handed to the security guard for collection.

4. Provide extra capacity (when required) to the Office and Volunteer Administrator
Visitor management
• welcome visitors to St. Hilary Court and ensure that they are signed-in and either directed to their meeting or the appropriate person is alerted;
• provide tea/coffee to guests on the first floor.
Housekeeping
• progress orders for stationery and office supplies;
• check and re-credit franking machine and order consumables for same
• record any maintenance faults and contact relevant external agencies for repairs;
• prepare meeting rooms for Board and Committee meetings and provide tea/coffee and biscuits/lunch, as appropriate.
Central Support
• assist the PA to the Chairman and Chief Executive with confidential photocopying and binding papers for board, and any other duties that may from time to time be required.
Volunteer Administration
• assist with the recruitment process for volunteers, dealing with enquiries by telephone, email or mail, co-ordinating interviews, obtaining references and distributing welcome packs;
• organise ID badges for all volunteers (with the exception of shop volunteers);
• co-ordinate supply of suitable volunteers to meet the ad hoc demands of managers;
• maintain and update the volunteer database.

5. General
Assist with any other administrative duties as and when required in agreement with the Director of Fundraising and Marketing.

Membership Officer 37.5 hours per week (5 days)
Salary basic £14,800 per annum OTE £26,000

We have a vacancy for a Membership Officer to canvass door to door in West Wales, and/or at specific sales locations, in West Wales recruiting new lottery members; also to sell single tickets wherever possible.

Main Duties and Responsibilities:

To canvass daily during the hours 1300 to 2100.   During winter months these hours of work may change to accommodate the winter darkness conditions.
To call door to door at people’s homes and promote Tŷ Hafan, recruiting new members to take part in the Lottery through a plan agreed with the Lottery Manager.
To provide any and all information necessary to prospective members to enable them to make an informed decision on how to support Tŷ Hafan.
To achieve an average weekly target, agreed with the Lottery Manager from time to time.
To keep the Lottery Manager constantly updated on the progress of canvassing in defined areas.
To liaise with the Lottery Manager regarding areas in which canvassing should take place, which may include travelling to such areas as may be necessary and/or agreed.
To record accurately and clearly, all information relating to the progress of canvassing enabling a statistical record to be kept.
To provide authorised receipts for the receipt of new membership payments and/or donations received.
To return new membership information to the office, on a time scale to be agreed with the Lottery Manager, to allow adequate time for the processing of new memberships.  
To wear your identification badge at all times in an appropriate place on your clothing which can clearly be seen.   To carry your letter of authority at all times.
If required, to drive and also personally arrange the maintenance of a Tŷ Hafan vehicle. Ensure its cleanliness and roadworthiness at all times. Carry out all daily and weekly maintenance checks.
